Setting up to download records from OCLC to Voyager
1. Create new "V-import" folder in the C:\ directory
2. Set Voyager Import/Replace Profile to "OCLC conditional"
3. Create a "Voyager" session in OCLC Passport
4. Update and export OCLC record:
open Passport, open Voyager session
search and retrieve record to be exported
to update and export: type u;xpo [F11] at the home position
to export only: type xpo [F11] at the home position
click ok to "record exported" message
repeat for other records as needed
logoff Passport
5. Import record to Voyager:
open cataloging module
click "record"
click "import"
click "from new file"
highlight filename "import.dat"
click "open"
highlight line of record to import
click "ok"
do editing as needed
save record to database
create holdings and item records
NOTE: Because it is necessary to save imported records to Voyager one at a time, it is better to highlight and open only one record at a time.If more than one record is opened, the additional records will be stacked in successive windows behind the first one. Click the "tile" or "window" option to see the others.
6. To merge imported record with an existing record in Voyager (From UHM VgrCatManual):
a. Display both target record and imported record in a tiled
display.
b. Prepare the overlay by creating matching fields with the Voyager vid
in both existing and imported record:
----- Add an 024 field, first indicator 8, with the Voyager vid to
existing record.
----- Format as: 024 8 vid000000
c. Save the existing record (click the sailboat)
d. Copy the 024 field into the imported bib record; make any other
edits to the imported bib, if needed.
NOTE: Merge profile will retain these fields: 024, 590, 971, 898, 987, 988, 901, 583. Check existing record for any local note fields or other data to be copied into imported record; precede local notes with appropriate lib identifier codes: UHM (for Manoa).
e. Save the imported record to the database.
f. When the "Bibliographic dedupe detection" box appears, verify the bib
data in the "Bib dedupe detection" box before you click Replace/Merge
button. Imported record will replace the target record.
CAUTION: There is no undo feature. If you mistakenly overlay the
wrong record, it is gone.
Message box reports: The record was added
to the database. It replaced existing Duplicate #------.
