1. Prep Work


1.1. Create an EndNote Library File


Step 1.1.1. Begin by activating the EndNote program application. The EndNote X "Get started with EndNote X" pop-up window will appear on your screen.

To create a new library, click on the CREATE A NEW ENDNOTE LIBRARY BUTTON. Then click the OK button.

 

 

 

 

Step 1.1.2. The NEW REFERENCE LIBRARY window appears. In the empty field following FILE NAME, type MAIN LIBRARY as the file name. Select SAVE.

Note: If you want to save the library to a different location or to disk, you will need to identify the location by using the SAVE IN pull-down menu.

 


 

 

 

The newly created EndNote Library "Main Library" appears.

 

 

 

 

 

1.2. Select an Output Style (APA 5th)

There are more than 2,000 bibliographic styles available in EndNote. You must select a style in order to have your in-text citations and corresponding bibliography/reference list properly formatted. This example uses the APA 5th edition style.

 

 

Step 1.2.1. Select a Style by using the commands EDIT, OUTPUT STYLES, OPEN STYLE MANAGER.

 

 

 

 

 

The EndNote Styles window appears and displays all the styles currently available in the styles folder.

Step 1.2.2. Click on the UNMARK ALL button to de-select any prior selections.

Scroll down the list to locate (highlight) the APA 5th edition style. Click on the adjacent box so a checkmark appears to confirm the selection.

Close the STYLE MANAGER window by using the keyboard shortcut (Ctrl + W) or by clicking on the "X" located in the upper right-hand corner of the window.

 

 

After closing the Styles window the active window of the MAIN LIBRARY appears.

The "APA 5th" style appears in the window.

 

 

 

 

1.3. Change Library Display Font (Unicode Font to Accommodate Special Characters )

 

Changing the library display font to a Unicode font will facilitate viewing references that may contain names or words having special characters/diacritical marks.

Step 1.3.1. Select EDIT, PREFERENCES.

 

 

 

 

 

Step 1.3.2. When the “EndNote Preferences” window appears, select DISPLAY FONTS.

Click on the CHANGE FONT button and select the ARIAL UNICODE MS, 11pt font.

Then click OK to close the EndNote Preferences window.

 

 

 

 

1.4. Check Word Processor Setting

EndNote works in tandem with your word processor to generate the in-text citations and corresponding bibliography/reference list.

Step 1.4.1. Open your word processing application and check whether EndNote icons are visible in the toolbar.

 

 

 

 

 

Step 1.4.2. If EndNote icons are not visible in the word processor's (MS Word) toolbar check whether the EndNote menu is available by selecting TOOLS, ENDNOTE X.

If the EndNote commands are not visible, close the word processing application then re-install the EndNote application program and re-check your word processor's settings. If the EndNote X commands are visible (as shown in the figure) but there are no icons on the toolbar continue to the next step (1.3.3.).

 

Step 1.4.3. If the EndNote icons are not visible in the MS Word toolbar, go to TOOLS, CUSTOMIZE. When the "Customize" window pops-up scroll down the list until you locate and select EndNote X.

Note: If EndNote doesn't appear to be integrated with your word processing program, re-install the software program.

 

 

 

1.5. Useful Tools

Spell Checker

 

Step 1.5.1. The Spell Check utility may be applied to a particular reference entry. Select TOOLS, SPELL CHECK.

 

 

 

 

 

 

1.5.2. The Check Spelling dialog box allows adding, changing, ignoring, or suggesting words.

Additional options are available by selecting OPTIONS or DICTIONARIES.

 

 

 

 

1.5.3. Selecting OPTIONS will provide assorting spelling options.

 

 

 

 

 

 

1.5.4. Selecting the DICTIONARIES option will provide assorted dictionary selections.

 

 

 

 

 

 

 

Change Text

 

Global and selective “search and replace” is performed using EndNote’s “Change Text” feature.

Step 1.5.5. Select EDIT, CHANGE TEXT.

 

 

 

 

 

 

Step 1.5.6. The “Change Text” window appears. Searches may be applied for selective or any fields (pull-down “In” menu).

Enter the search and replace term then click CHANGE.

 

 

 

Term Lists

EndNote uses Term Lists to store glossaries of information such as author names, journal titles, keywords  or other terms that will facilitate managing your reference. EndNote will prompt you to use these terms as you enter information, ensuring consistency.  Term lists may be customized or imported according to your needs.

Step 1.5.7. To create a term list go to the toolbar and select DEFINE TERM LISTS.

 

 

 

 

 

 

Step 1.5.8. The “Term List” window is displayed. Select CREATE LIST.

 

 

 

 

 

 

Step 1.5.9. The “Term List Name” window appears. Enter “Hawaiian Words” and click OK.

 

 

 

 

 

 

Step 1.5.10. Select “Hawaiian Words” then click CREATE LIST.

 

 

 

 

 

 

Step 1.5.11. Add terms by clicking on NEW TERM, enter a word in the “New Term” dialog box then click OK.

When completed, click CLOSE.

 

 

 

 

Step 1.5.12. To apply the term list go to TOOLS, LINK TERM LISTS.

 

 

 

 

 

 

Step 1.5.13. The “Linking Fields with Term Lists” window appears. Select the reference fields to be linked to the Hawaiian Words term list then click OK.

 

 

 

 

 

Import Term Lists

Term lists from other disciplines may be imported and linked to a library to facilitate data entry and accuracy.

Step 1.5.14. To import a term list select TOOLS, DEFINE TERM LISTS.

 

 

 

 

 

 

Step 1.5.15. The “Term Lists” window appears and displays three options: authors, journals, keywords.

Select “Journals” then click “Import List.”

 

 

 

 

 

Step 1.5.16. Save the “journals term list within EndNote X’s “Term Lists” folder. Locate the Term Lists folder and click “Open”.

The Term List folder lists several files. Select the HUMANITIES file then click OPEN to import the term list.

 

 

 

 

 

The Humanities term list is imported.

A pop-up window appears and confirms the number of terms imported.

 

 

 

 

 

To view the imported terms, click on the TERMS tab.

Click CLOSE to exit from the Term Lists window.
