PROCESSING PROCEDURE FOR AV⁄C CD-ROM and ASIA Circ CD-ROMs
ASIA circulating CD-ROMs and DVD ROMs are housed at AV⁄C. If necessary, change the MFHD (and ITEM, if present) to reflect the true location. Label them as AV⁄C.
CD ROMs and DVD ROMs housed at AV⁄C follow the same copy cataloging procedure as AV⁄C compact discs (CD). At the present time, there are no DISKs housed at AV⁄C.
1. Call numbers = Use self-adhesive accession number label for CD ROM⁄DVD ROM.
a) Do not hypenate CD ROM or DVD ROM in the MFHD call number
b) Use a first indicator of 8 in the MFHD 852 tag
2. Property stamps = Preservation processing includes property stamping.
3. Jewel boxes
a) All AV⁄C CD ROMs and DVD ROMs must be housed in plastic jewel boxes or acceptable commercially made cardboard type slipcases.
b) Follow existing standards established for AV⁄C CDs (compact discs).
4. Call number labels
a) Write AV⁄C on the call number label.
b) Write the appropriate qualifier CD or DVD before the pre-printed ROM on the label.
c) CD ROM⁄DVD ROM in jewel box with insert = Paste call no. label on front lower left corner of insert.
d) CD ROM⁄DVD ROM in jewel box without insert =Paste call no. label on front lower left corner of jewel box
e) CD ROM⁄DVD ROM in acceptable commercially made cardboard slipcase = Paste call no. label on front lower left corner of the slipcase.
f) Accompanying materials = Do not label. Preservation processing includes labeling. (Input call no. subdivision on Enumeration line of ITEM record to identify accompanying material. [e.g. Text, Guide, etc.)
5. Barcodes = Use 100nnnnnnnn real barcodes
a) CD ROM⁄DVD ROM in jewel box with insert = Place barcode on the back of the insert in a clear spot or over unimportant text.
Do not cover loading instructions.
b) CD ROM⁄DVD ROM in jewel box without insert = Place barcode above the call no. label on the front of the jewel box.
c) CD ROM⁄DVD ROM in acceptable commercially made cardboard slipcase with or without insert = Same as items. 5.a. and 5.b above, whichever is appropriate.
d) Accompanying materials = Follow standards established for hardcover and softcover book barcoding.
6. MFHD⁄ITEM records
a) Input MFHD showing accompanying material.
b) Input separate item records for all stand alone accompanying materials.
7). Fluorescent green and pink self-adhesive multimedia warning labels
a) Hardcovers = Paste next to barcode on inside back cover whenever possible.
b) Containers = Paste on inner center spine or other highly visible location in container
c) Softcovers and other books⁄containers that do not permitting pasting of labels
1) Put loose labels in a plastic baggie.
2) Book = Use removable tape to attach baggie to the page after title page.
3) Container only = Use removable tape to attach baggie to flag, worksheet or inside of container.
8. Distribution of material = Send to Preservation
