CatSS will begin helping with Authority maintenance by June 1, 2004. Each staff member will receive a small file of cancelled headings each week (delivered to their Bouncefile folder).
Staff is responsible for
- examining the corresponding Authority records in the Voyager Authority file
- determining whether or not the Voyager Authority record reflects the cancelled heading
- if the cancelled heading is reflected in the Voyager Authority record,
deleting the cancelled heading from their file of cancelled headings
if the cancelled heading is not reflected in the Voyager Authority record,
bouncing the cancelled heading to the Head of CatSS
Steps:
1.) Retrieve the file of cancelled Authority headings from your Bouncefile folder
2.) Open the file of cancelled Authority headings as a Work File
3.) Search (Find) each main entry against the Voyager Authority file, using the appropriate Search Key as indicated in the chart at the head of this document
4.) Compare the LCCN (Tag 010) in the Voyager Authority record to the LCCN in the cancelled record. The cancelled heading's LCCN should appear as a subfield z in the Voyager Authority records LCCN tag.
if the cancelled heading is reflected in a subfield z of a single Voyager Authority record,
delete the cancelled heading from your file of cancelled headings
if the cancelled heading is reflected in multiple Voyager Authority records,
close the cancelled heading in your file of cancelled headings
if the cancelled heading is in the Voyager Authority file, and there are no bibliographical records using the cancelled heading in Voyager
close the cancelled heading in your file of cancelled headings
if the cancelled heading is not in the Voyager Authority file, and there are no bibliographical records using the cancelled heading in Voyager
delete the cancelled heading from your file of cancelled headings
if the cancelled heading is not in the Voyager Authority file, and there are
bibliographical records using the cancelled heading in Voyager
close the cancelled heading in your file of cancelled headings
5.) When all cancelled headings have been reviewed, move your file of remaining cancelled headings to Paul's Bouncefile and send Head of CatSS an e-mail message that the file has been processed.
