CatSS PRELIMINARY CATALOGING PROCEDURE
for UHM theses

1.Search for copy:
- Search both the local database and then OCLC to see if any version of the thesis exists (there may be a UMI photocopy, for example, or Hilo may have a copy of the thesis), or there may be a title based upon the thesis, published at a later date. Retain any existing call numbers if already on UHM piece(s).
Check Voyager first
- If Voyager has a record for a UH thesis, click here
- If there is no record in Voyager to use, check OCLC
- If OCLC has a record for a UH thesis, click here
- If there is no record or variant on OCLC, a preliminary record needs to be created in the database.
2.Thesis templates:
- Retrieve the appropriate MASTERS or DOCTORAL THESIS workform template to input a new record. Several templates are available for use, located in
UH theses [LAN]:\Cat\CatSS\CATSS Preliminary\UH Theses
- Click on the leftmost icon of the Voyager Cataloging module to access.
- Theses templates updated 10⁄20⁄08 to remove references to microfiche.
3. Input standards:
- Follow the input standards established for Preliminary Cataloging. Default values are provided wherever possible to minimize repetitive input. As of 01⁄28⁄09 two default values differ from normal input standards for theses: Encoding level is "K" for all UH theses. Adjust other defaults when appropriate.
4. Authority control:
- Use Right Click⁄Verify to search all unverified authority-controlled headings via the Voyager Browse Headings List.
- If a matching AUTHORIZED heading is found, use the Retrieve command to retrieve the heading from the Headings List into the bibliographic record. Matching headings include preferred forms with authority records as well as headings that lack formal authority records; i.e., nothing in the far left column of the Headings List screen.
- If a matching REFERENCE heading is found, navigate to the underlying AUTHORITY record and Retrieve the heading.
- If NO matching heading is found, or if you cannot quickly determine whether the heading is a match, input the heading, surname first, in a 1xx tag exactly as it appears on the piece. Use upper⁄lower case.
- *** EXCEPTION: Do not verify the default 830 series tag present in the workform. The 830 is already in AACR2r form. Input ‡p and⁄or ‡v as appropriate.
5. Punctuation & spacing:
- Supply ISBD (International Standard Bibliographic Description) punctuation and spacing as prescribed by USMARC and AACR2r input standards.
6. Diacritics & Special Characters:
- Input all diacritics and special characters.

11. Statistics:
Count the number of preliminary theses titles cataloged by branch (under Monographs; HAWN).
Count the number of electronic links added (under Monographs; Electronic links added)
12. Routing:
Route completed preliminary thesis materials to Preservation for binding. When the pieces return from the Bindary, Head of CatSS will process and place in call number order on shelving for Original Cataloging to finish.
