PROCESSING PROCEDURE FOR ASIA REF
 
1. Call numbers
a)  Use self-adhesive accession number label for CD ROMs, DVD ROMs, and DISKs.
b)  Do not hypenate CD ROM or DVD ROM in the MFHD call number
c)  Use a first indicator of 8 in the MFHD 852 tag
 
2. Property stamps
a) CD ROM, DVD ROM = Use a black ultra fine-point permanent marker to write UHM LIB on the clear inner ring of the disc.
b) DISK = Use a small University of Hawaii stamp to property stamp or write UHM LIB on the disk label. Do not cover loading instructions.
c) Accompanying materials = Property stamp and write call no. on accompanying material(s).
 
3. Call number labels
a) Write location on call number label.
b) Write the appropriate qualifier CD or DVD before the pre-printed ROM on the label.
c) CD ROM⁄DVD ROM in jewel box with insert = Rehouse into white paper sleeve. Paste call no. label on front upper left corner of white paper sleeve.
d) CD ROM⁄DVD ROM in jewel box without insert = Rehouse into white paper sleeve. Paste call no. label on front upper left corner of white paper sleeve.
e) CD ROM⁄DVD ROM in cardboard commercial slipcase with or without accompanying material(s):
1) Paste call no. label on front upper left corner of slipcase.
2) Write call no. on all loose accompanying material(s).
f) Loose CD ROM⁄DVD ROM without jewel box, with or without accompany material(s):
1) Rehouse into white paper sleeve. Paste call no. label on front upper left corner of white paper sleeve.
2) Paste call no. label on front upper left corner of white paper sleeve.
3) Write call no. on all loose accompanying material(s).
g) DISK with or without accompanying material(s):
1) Write call no. on a clear spot on the disk label or use a trimmed to size self-adhesive label. Do not cover loading instructions.
2) Write call nos. on all loose accompanying materials.
 
4. Barcodes = Use 100nnnnnnnn real barcodes for CD ROMs, DVD ROMs and DISKs with protective sleeves.
a) Apply barcode to back of white paper sleeve, below the envelope flap.
b) Use 109nnnnnnnn dummy barcodes for DISKs without barcodable sleeves.
c) Do not barcode any accompanying materials.
 
5. Holding⁄Item records
a) Input MFHD (showing accompanying material, if any).
b) Do not input separate ITEM record(s) for accompanying material.
c) Record number of pieces in ITEM record.
 
6). Fluorescent green and pink self-adhesive multimedia warning labels
a) Hardcovers = Paste next to barcode on inside back cover whenever possible.
b) Containers = Paste on inner center spine or other highly visible location in container
c) Softcovers and other books⁄containers that do not permitting pasting of labels
1) Put loose labels in a plastic baggie.
2) Book = Use removable tape to attach baggie to the page after title page.
3) Container only = Use removable tape to attach baggie to flag, worksheet or inside of container.
 
7. Distribution of materials
a) CD ROM⁄DVD ROM = Use a mailing envelope to send CD ROM, worksheet and any accompanying material(s) to selector or requesting department via campus mail.
b) DISK = Use a mailing envelope to send DISK, worksheet and any accompanying material(s) to selector or requesting department via campus mail. Place loose DISKs without protective sleeves in plastic baggies before mailing.
