Parallel Records copy-cataloging procedures
The current OCLC policy is to create a new English record when only foreign-language records are found for the same edition being cataloged. Foreign language codes are indicated in 040 ‡b. However, foreign-language vendor records should be upgraded to AACR2 and replaced, and the 040 ‡b should be deleted.
Vendor records are indicated by presence of 938 tag(s))
If CatSS can't find an English-language record, do the following with the foreign-language record:
- Examine the encoding level
- if the encoding level is 3, treat as a no-hit (ignore the record and do a new prelim from scratch)
- if the encoding level is not 3:
- download the foreign-language record to use as a basis for a preliminary record
- don't add UHM holdings to the foreign-language record
(catalogers will add holdings when uploading our English-language record)
- Edit the foreign-language record to a prelim record
- change the encoding level to 5
- remove OCLC record number 035 tag(s)
- leave the existing 040 ‡b in place, but change ‡a HUH ‡c HUH
- upgrade to preliminary AACR2 in the descriptive fields (260, 300)
- leave in place any foreign-language tags
- place on the prelim shelves
Original Cataloging will upgrade to full and add the record to OCLC as a new English-language record.
