Hello Golden Key Members,
This email is in regards to the GK UH-Manoa Chapter policies regarding absences. In light of a recent spike in unexcused absences at Golden Key community service events, it seems necessary to communicate exactly what the policies mean. Please read through this email completely and thoroughly, as you will be responsible for understanding the contents of this message.
At the beginning of the semester I sent out an email welcoming everyone back to school. Within that email was a notice with information about changes the Executive Board made to the official chapter policies regarding unexcused absences. Our Director of Members, Larry Martin (larrykmartin@gmail.com) also sent out an email towards the beginning of the semester with information about those policy changes, and the policy changes were mentioned at our first General Meeting. The amended policies are contained within section two "Attendance," articles B, C and D, as well as within section four "Points/Reward System" under Golden Member status. The relevant policies are as follows:

B. Excused/Unexcused Absence - Attendance is expected and assumed once a member signs up for any event. Excused absences will be granted if notification is given at least 48 hours to the start of the event, a replacement is found to participate in the event, or in the case of an emergency (at the discretion of the chairperson of the event). Failure to do so will result in an unexcused absence.
C. Members are subject to point deduction for an unexcused absence. The number of points deducted are at the discretion of the chairperson of the event and the Executive Board.
D. A member who has more than one unexcused absence per semester is not eligible for Golden Member status during that semester.
The term "absence" is applicable to all events requiring advance commitment, such as community service events and social activities. Events that do not require advance commitment or notice of attendance, such as General Meetings or Golden Key Table Days do not carry penalties if you decide not to attend.
Emails with information about upcoming Golden Key events are always sent out weeks prior to the start of the event to ensure that as many members as possible have a chance to participate, and so that the host organization will have enough time to organize its volunteers. Confirmation/reminder emails are always sent out to participants a couple days prior to the start of the event. Once a member signs up for an event, he or she is responsible for attending the event.
- If a member is unable to attend an event for whatever reason, they have up to the 48 hour mark prior to the start of the event to inform the GK coordinator, no questions asked.
- If a member is suddenly unable to attend an event due to serious extenuating circumstances less than 48 hours prior to the start of an event, they are responsible for informing the GK coordinator (via email or phone) of their situation ASAP.
- Contact information is always contained within the original event email, but members can always access that information via the GK UHM website. Failing to do so will result in a points deduction penalty at the discretion of the Executive Board.
Participation in Golden Key UH-Manoa events is not mandatory. However, signing up to participate in events is highly encouraged and very rewarding. That being said, signing up for events means that you are responsible for attending those events, unless you otherwise notify the relevant parties. Please be considerate to everyone involved and make sure you are able to attend events before signing up for them. Having the opportunity to work with community organizations is a privilege that should not be abused. Keep that in mind both before and during the activities.
Hopefully this email made it very clear where the Golden Key UH-Manoa Chapter stands in terms of excused/unexcused absences. From here on out, we will no longer be giving “warnings” to members who acquire “unexcused” absences, and appropriate consequences will be issued.
