Duties of CSSAUH Officers

From the experience learned by 2003-2004 CSSAUH officers, it is found duties of each officer must be clarified in order to facilitate smooth operation of the organization. The following list of duties for officers is a recommendation based on past experience, not requirement. It is welcomed to modify the following list of duties in order to suit current officer group’s situation.

Thank you for your enthusiasm for serving the Chinese community at UH Manoa. Wish this document helped you serve the Chinese community better and gain the greatest experience out of assuming a CSSAUH officer position.

President
  • Request fund from the L.A. Consulate
  • Seek sponsorships for major events
  • Seek new officers at beginning of every semester
  • Call for officer meeting, host the meeting, and have agenda outline prepared
  • Representing CSSAUH to attend necessary function/invitation
  • Respond to email of major issues
  • Motivate officer(s) and member(s) (e.g. praise, encourage, give good words)
  • Final decision-maker when there is evenly split opinions within officer group
  • Head coordinator of the National Day celebration (traditional event) while other officers assist
  • Initiate proposal, seek comments within the officer group, and seconded by at least one other officer before implementation
Internal Vice President
  • Treasurer works
  • Direct change bank signer procedure
  • Maintain financial records of CSSAUH (e.g. keep receipts, make list of incomes, expenses and balance) readily available for officer review.
  • Reimburse expenses
  • Secretary works
  • Prepare and maintain CSSAUH binder
  • Keep record of officer meeting minute
  • Annually register CSSAUH as a RIO in school on time (Why? Registered RIO at UH receives various benefits, such as auditorium/gym reservation)
  • Check and prepare the updates of CSSAUH web site content
  • Initiate proposal, seek comments within the officer group, and seconded by at least one other officer before implementation
Web Master
  • Maintain CSSAUH web site
  • Update latest event news, obtain updated contents from Internal VP
  • Fix web site technical problems
  • Major modification and replacement of the current web site should receive consent from majority of the officer group
  • Host of CSSAUH email list
  • Manage email list (e.g. ban spam email, respond to subscribe/unsubscribe email and error message)
  • Maintain quality/orderliness of the email list (e.g. appropriate manner), including kick person off CSSAUH email list if he/she continues conducting inappropriate behaviors after advising him/her not to
  • Initiate proposal, seek comments within the officer group, and seconded by at least one other officer before implementation
External Vice President
  • Head coordinator of new student picnic and orientation (traditional event) while other officers assist
  • New student services (pick up, temporary housing arrangement, and etc.) (traditional event)
  • Head coordinator of Mid-Autumn festival while other officers assist
  • Head coordinator of Chinese New Year while other officers assist
  • Initiate proposal, seek comments within the officer group, and seconded by at least one other officer before implementation
General Vice President
  • Fundraising chairperson (traditional event) while other officers assist
  • Additional social/leisure activities (e.g. karaoke, dance party; preferable in Spring semester because there are not too many traditional events)
  • Historian works (take pictures/video and make a scrapbook at end of officer term)
  • Initiate proposal, seek comments within the officer group, and seconded by at least one other officer before implementation
  • Other unexpected duties
Sport Director(s)
  • Make people aware and in charge of the sport events (soccer on Saturday, basketball on Sunday and so on)
  • Initiate proposal, seek comments within the officer group, and seconded by at least one other officer before implementation
(Temporary Event) Director(s)
  • Whenever there is a special (non-traditional) event and no existing officer is willing or able to take charge of it, (Temporary Event) Director officer title can be assigned to any appropriate person
  • Main purpose of this position is coordinating and in charge of this particular event during the period of time
Officer Group Structure
  • There is no ranking within the officer group, everyone is equal (that the president has final-decision right when there is evenly split opinion on an issue is only to facilitate organization operation)
  • Normally each officer conduct his/her own duties as listed in Duties of CSSAUH Officers
