ASSOCIATION OF HAWAII ARCHIVISTS
Board Meeting, 22 February 2008
Present: Andrew Wertheimer, Susan Shaner, Barbara Dunn, Laura Gerwitz, Judith Kearney, Matthew Yim, Maja Clark
Andrew called the meeting to order at 5:30 p.m.
Minutes of the February 9 meeting were accepted (as amended to include Helen Wong Smith’s name among those present).
Laura reported $3,747.61 in the account. Also presented January report (accepted) and Treasurer’s Annual Report February 2007-January 2008 (not accepted, needs to be balanced).
PROGRAMS
Discussed:
- Sponsor a digital archives celebration with an award for best collection, exhibit, etc. to encourage and recognize local digitization initiatives.
- Fund a scholarship for LIS students – filling the void left since Alu Like lost its scholarship funding
- Co-sponsor exhibit about Emma Nakuina, coordinated by Martha Hoverson, Hawaii Documents Section Head, to be held at the Hawai‘i & Pacific section of the Hawaii State Library. Exhibit to be funded by a Friends of the Library grant. Others involved include Carole McClennan, Dennis Kawaharada and Christina Baccilega. Opening date to be determined – scheduled for April or May 2008.
- Hold the summer social in July at Pu‘u ‘Ualaka‘a State Wayside (Tantalus)
- Boost local pool of SAA volunteer mentors (currently consisting of only one mentor)
- Actively participate in the National Historical Publications and Records Commission Electronic Records Projects. AHA could form a partnership for the purpose of applying for a grant to utilize the specialized equipment, i.e., large format book scanner, available at the Hawai‘i State Archives. Funding could be used to hire someone to scan various collections of the community. AHA is not a 501(c)(3), so it cannot apply for a grant, however, AHA could administer the grant.
Approved:
- Invite SAA-SC students to attend the March 17 AHA board meeting and mentoring mixer. Andrew to reserve ICS board room at UH M?noa for 5:15 p.m.
- AHA to co-sponsor the Emma Nakuina exhibit. Co-sponsorship to include $50 contribution for food (if Friends budget can match), publicity via a mention in the AHA newsletter, and assistance at the opening event.
- Schedule field trip to Bishop Museum picture gallery for AHA members on either Saturday, May 3, 10, 17, 24 or 31. Tour to include a talk story session with DeSoto Brown.

- Potential locations -
- Maui Historical Society (Roslyn Lightfoot) extended invitation to Barbara
- Kauai Historical Society; Judith noted good website
- Oahu - Andrew strongly in favor due to time and cost constraints
- Proposed theme – Digital Archives II
- Build upon Martha Chantiny’s 2008 conference presentation regarding a state collaborative virtual library archive
- the need in Hawai‘i for a controlled vocabulary; Aotearoa (National Library of New Zealand) as a model
- identify keynote speaker to address cultural knowledge necessary to design virtual archives model
- student involvement; neighbor island participation

- Oahu as location for 2009 conference
