ASSOCIATION OF HAWAII ARCHIVISTS
Board Meeting, 16 November 2007

Present: Ellen Chapman, Barbara Dunn, Laura Gerwitz, Pat Ogburn, Andrew Wertheimer, Helen Wong Smith; Excused: Judy Kearney, Susan Shaner

Helen called the meeting to order at 5:15.
Minutes of the September and October meetings were approved as written.
Laura gave the treasurer's report: We have $4,730.96 as of the end of October.

PROFESSIONAL EVENTS
Chieko Tachihata's presentation on the 17th of historical photos of Buddhist temples: Pat will provide refreshments and already has the lei; Andrew will take photos and post them on our website.
Ossipoff exhibit and lecture: We decided that AHA will not sponsor an event in connection with the Ossipoff activities. Ellen will send to AHA members information about the lecture and exhibit, including docent-led tours that interested people can arrange.

ANNUAL MEETING
VENUE: We decided to hold the annual meeting at the YWCA downtown.
FOOD: We discussed lunch possibilities since the Y does not have a catering service.
SPEAKERS: Several people were discussed as possible speakers: Gina Vergara-Bautista (HI State Archives); Martha Chantiny (UH); Sunny Pai (UH); Shari Tamashiro (Kapiolani CC). Helen will contact them. If you have other speaker suggestions, let Helen know.
SPEAKER HONORARIUM: We decided not to give honoraria; instead we will provide them with free registration and lunch.
PANEL DISCUSSION: We decided to have a panel discussion about the possible state-wide digital consortium. Possible panel members: Susan Shaner (HI State Archives); Richard Burns (HI State Librarian); DoE school libraries representative; Kanani Reppun, Jerry Dupont (Law Library Microform Consortium); Paula Mochida (UH, Pacific Rim Digital Alliance); Keola Donaghy (UH Hilo, Hawai'i newspaper project). Each person would speak for 5 minutes, then attendees would be invited to ask questions and make comments.
POSTER SESSIONS: Andrew suggested poster sessions for students and professionals. He will put out a call to all AHA members and LIS students. Judy will put this information in the newsletter.
INVITE OTHERS: Andrew suggested inviting HLA and SLA-HI
COST: We want to cap the fee at $50, including lunch.

SPRING PROGRAM: To be discussed at January meeting.

HOLIDAY SOCIAL:
ATTENDEES: There are 21 reservations so far. Helen will send a reminder invitation to all AHA members on the 19th, with a postmark deadline of the 26th and asking that people RSVP to Laura.
SUPPLIES: Barbara will find out about table sizes so we can arrange for tablecloths; Helen will borrow tablecloths from a restaurant supplier; Pat will supply paper goods; Helen will bring iced tea, with lemons, sugar and mint on the side; Laura will bring water.
DOOR PRIZES: Helen, Barbara and Susan will acquire items for door prizes.
LETTER: Laura found a letter from Queen Emma's mother to the Queen, discussing the sad state of the Summer Palace (holiday social venue); she will bring a copy to the social.

AHA BROCHURE: Ellen showed the latest version of the brochure, printed, and will email it to Board members for suggestions.

The meeting was adjourned at 6:15.
