ASSOCIATION OF HAWAII ARCHIVISTS
Board Meeting, 21 September 2007

Present: Ellen Chapman, Barbara Dunn, Laura Gerwitz, Judy Kearney, Pat Ogburn, Susan Shaner, Andrew Wertheimer, Helen Wong Smith

Helen called the meeting to order at 5:05pm.
Minutes of the August meeting were accepted as written. Laura distributed the Treasurer's reports for July and August - $4,937.44 in the account.

PROFESSIONAL EVENTS
Chieko Tachihata will talk about her work with Honpa Hongwanji Mission photos on Saturday, November 17, at 10:00am at the Mission. There is a limit of 20 people, so the first 20 to RSVP will be accommodated. Parking is plentiful. Pat will get a lei for Chieko.
Ossipoff possibility: Andrew approached the Ossipoff film producer who is willing to speak to AHA. He is waiting to hear from the Dean of the UH Manoa School of Architecture. Ellen will inquire if the Honolulu Academy of Arts is able to provide a tour of their Ossipoff exhibit.
Helen will write a thank-you letter to the Manoa Heritage Center for hosting the AHA event. Susan Shaner will be thanked in the Newsletter for arranging our visit to the Center. If you attended this event, please send Helen <smith@hawaii.edu> a note about your experience so she can include it in her write-up in the Newsletter.

ANNUAL MEETING:
Helen reserved the Midkiff venue at Kamehameha Schools just in case we can't find another place with Internet access. Koolau Golf Course is too expensive. The Halekulani Hotel requires a minimum of 60 people. Kanani will investigate the Outrigger Club where her son is a member. Ellen will ask the Academy if there is a wired room we could use. Laura will check on the downtown YWCA. Andrew will see if Bellows has a useful venue We discussed several program possibilities around the theme of digitization and will continue planning at the October meeting.

GRANT TO STUDENT ATTENDING SAA: We discussed funding a grant for an LIS student to attend SAA. Funding the entire cost is beyond our means, but perhaps we could manage a small part. Discussion to continue.

AHA LOGO T-SHIRTS: We approved the designs Helen presented. Helen with contact the company Barbara recommended for cost estimates. We would like to have them in time for the Holiday Social.

HOLIDAY SOCIAL: Scheduled for Tuesday, December 4 at the Queen Emma Summer Palace. The Palace will be open from 5:30-6:00 for interested attendees and the meal/festivities will start at 6:00. The menu Barbara showed us was approved. In order to serve alcohol, we would have to have event liability insurance; we decided to skip alcohol. The fee will be $25 for members and $30 for non-members. Barbara will check on papers goods purchased by AHA still stored at the Mission Houses. Several Board members will solicit door prizes from suggested organizations. Details will be in the next Newsletter; RSVP by Nov. 15.

Laura reported receiving thank-you notes from Leilani Pyle for our condolence card to her when her huband Bob died and from the fund sponsoring Bob's bird research to which we donated money in his memory.

Susan reported that Greenstone went live this week at the State Archives and that the scanning is easy, but the metadata wrangling is difficult.

The meeting was adjourned at 6:05pm.
