ASSOCIATION OF HAWAII ARCHIVISTS
Board Meeting, 20 July 2007

Revised Draft

Present: Ellen Chapman, Barbara Dunn, Laura Gerwitz, Judy Kearney, Pat Ogburn, Susan Shaner, Helen Wong Smith; Excused: Andrew Wertheimer

Helen convened the meeting at 5:30.
Minutes of the May meeting were approved as written (there was no meeting in June).
Laura reported that the treasury has $4,735.45.

Helen reported that Kanani has withdrawn from the Board. We reaffirmed that the Past President is an ex-officio member of the Board.

Helen thanked Judy for the recent newsletter.

SUMMER SOCIAL: There were only four reservations for this event, so we cancelled it for this year. Helen will inform Bonnie Judd.

HOLIDAY SOCIAL: Barbara reported that Paul Onishi (Farrington High School food service program) has tentatively offered to cater this event. If this doesn't work out, perhaps the Kapiolani Community College program would cater for us.

PROFESSIONAL EVENT: Helen reported that so far about 10 people have signed up for the upcoming tour of the Manoa Heritage Center. Susan will find out and let us know if the usual fee will be waived for AHA. She will get lei for Sam and Mary Cooke. Laura will bring a camera to take pictures.

MEMBERSHIP DRIVE: Barbara reported that she displayed 20 copies of the AHA flyer/membership form at the recent Hawaii Museum Association conference and only three were left at the end. We decided to make them available at HLA's UH Medical School event, at Jim Cartwright's workshop for religious groups on July 21, and at Helen's Persistence of Memory presentation on August 10.

SLATE OF NOMINEES: After deciding that having balloting at the Holiday Social wouldn't give us enough time between now and then, we set the balloting for the annual meeting as is customary, along with any proposed changes in the by-laws. Information about this will be in the Oct./Nov. newsletter. We will need a nominee for Vice-President/President-Elect and two new board members (Helen's and Ellen's terms and eligibility end this year). We decided to ask Jim Cartwright and Linda Soma to be on the nominating Committee. If either cannot Susan and Barbara volunteered to do the job.

ANNUAL MEETING: We propose that the conference theme concern electronic resources and digitization., so good Internet connections are a must. Helen said that Pu'u O Hoku ranch on Molokai is planning to install wireless connections, but not in time for our meeting. The Halekulani and Ko'lau Golf Course are too expensive. Andrew will investigate sites at UH Manoa. Barbara suggested the Mission Memorial Auditorium and will check on possibilities at Hawaii Pacific University. Helen will ask aboutKamehameha Schools' Kapalama Campus campus. We should all keep our eyes open for hotel ads and think about other possibilities.

AHA LOGO MERCHANDISE: Judy displayed a flat magnifier (like a large bookmark) with logo and text on it for us to consider. T-shirts were discussed. Helen will look into these ideas. We could sell logo items at AHA events and have order forms in the newsletter.

CONSULTING: Barbara reported that Daughters of Hawaii would like an archives consultant to appraise their materials and recommend measure to protect them. DoH is an AHA institutional member. Susan will ask Luella Kurkjian if she interested and Helen will send an email about the project to all AHA members.

Respectfully submitted and revised,
Ellen Chapman, Secretary
