SAVING RECORDS FROM THE TRAINING DATABASE TO A WORKFILE FOR EVENTUAL TRANSFER TO THE VOYAGER LIVE PRODUCTION DATABASE

Using My Computer or Windows Explorer, create a folder: C:\VOYAGER\WORK
In Voyager Cataloging:
Click options, preferences, folders/files
In the upper right quadrant of the folders/files screen:
Click the ellipses button next to the space labeled "work files, bib"
Set the "look in" path to: C:\VOYAGER\WORK\
Provide a filename in the space, making sure that the extension is
.bib
Example: gap.bib
In the lower left quadrant of the folders/files screen:
Click the ellipses button next to the space labeled "folders, work"
Set the "look in " path to: C:\VOYAGER\WORK\
Click OK
Leave the lower right quadrant of the folders/files screen blank
Do cataloging and file the record in the training database
Click record, make a copy
Click file, save, or click the blue diskette icon
This will save a copy of the record to your designated workfile, without a
Vgr bid no. This will prevent your record from replacing a record in
the live production database with the same Vgr bid no.
Click OK to "the record was saved in" message box
To view the contents of your workfile: (records will be in chronological
order as saved)
Click file, work record, open or click the yellow manila folder icon
Highlight the workfile name, click open
To retrieve a workfile record:
Highlight the title, click open
To edit and re-save a workfile record:
Do editing, click file, save
Click OK to "work record updated" message box
To delete a workfile record:
Retrieve the record, click file, work record, delete
Answer "yes" to "are you sure you want to delete this record?" prompt
To edit a record in the training database and re-save it in the
workfile:
Retrieve the record in the training database
Do editing and click the ship icon to save to the training database
Click OK to "record was successfully updated" message
Click record, make a copy
Click save
View the contents of the workfile
Delete the earlier saved record with the same title but a lower Seq #
In the production database:
Change the import path in options/preferences folders/files to:
C:\Voyager\Work\ [your workfile name here]
Change the options/preferences general to check:
Delete records from work files once saved to database
Click record, import, from new file
Highlight your workfile name
Click open
Open each record one at a time and save to the database
Re-create the holdings and items based on the 949 data
If you already have records saved in a workfile with Vgr bid nos., retrieve and re-save them from the training database to a new workfile, making sure the saved records do not have Vgr bid nos.
